The Approval Matrix feature streamlines the document approval process by automating approvals based on predefined rules and steps. Please follow the instructions below to set up and use the feature.

1. Create the Approval Flow from the Approval Matrix

  • Navigate to Settings →Create new Approval Matrix in the Approval Matrix.

  • Define your approval flow by specifying conditions, rules, and steps.

2. Define Approval Rules

  • Create detailed and diverse approval rules based on specific conditions (e.g., document type, amount)

  • These rules determine when the approval matrix is triggered.

    • Note: In this Beta version, the system supports up to 3 rules for each flow.

 

3. Set Up Approval Steps

  • Define the approval steps in your workflow (e.g., Manager, Director) → Save

    • Note: In this Beta version, the system supports up to 3 steps for each flow.

 

4. Activate the Workflow

  • Once you’ve saved the approval settings, they will appear in the list with a Draft status.

  • There are two ways to activate the workflow:

 

  1. From the Approval Matrix Settings- List:
  • Click the (options menu) next to it and select Activate.

 

2. From the Workflow Details: 

  • Open the workflow details.

  • Click the Activate button within the settings page.

 

 

 

 

5. Submit Documents

  • Submit your document to ASSIST.

  • The approval matrix will be triggered automatically if the document meets the defined conditions.

6. Track Approval Status

  • Once the document is approved:

    • You can check the Approval History in two places:

      • Document’s detail page → Approval History Tab.

      • Approval History tab in the Approval Matrix.

 

 

7. Final Status of Approved Documents

  • Approved documents will be clearly marked as Approved in the system for easy identification.

 

Notes:

  • The current Beta version is limited to 3 steps and 3 rules. Future updates may expand this functionality.

  • Ensure that the rules and steps are clearly defined to minimize errors and streamline approvals.
